Job description
As Office Manager you will play a vital role in supporting the smooth operation of the organization by overseeing administrative tasks, managing office procedures, and providing efficient coordination across various departments. Your primary responsibility will be to ensure the office functions effectively, allowing other team members to focus on their respective roles and responsibilities. This position requires a combination of strong organisational and interpersonal skills, as well as the ability to work in a dynamic and fast-paced environment.
Key Responsibilities
Office Administration
- Maintain office systems and procedures, including filing systems and records management.
- Handle general office duties such as answering phone calls, managing correspondence, and responding to inquiries.
- Implement and enforce organisational policies, procedures, and standards.
Event and Project Coordination
- Collaborate with program managers to ensure project timelines, deliverables, and milestones are met.
- Assist with project-related documentation, data entry, and reporting.
Communication and Stakeholder Engagement
- Manage incoming and outgoing communications, including emails, etc.
- Act as a liaison between volunteers and external stakeholders, fostering positive relationships.
Qualifications and Skills
- Proven experience in office administration.
- Strong organizational and multitasking abilities, with attention to detail.
- Excellent communication and interpersonal skills, with the ability to work collaboratively in a team environment.
- Proficient in using office software, including word processing, spreadsheets, and database management.
- Familiarity with financial administration tasks and experience with accounting software.
- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities.
- Knowledge of the Irish charity sector and relevant regulations is a plus.
